Smokeball

The Smokeball connector allows users to export documents and metadata to your Smokeball instance, providing options to dynamically select matters and leads, set and create destination folders, customize document metadata, securely share uploaded documents and manage user authentication for secure access to your Smokeball content.

Settings

Smokeball Account

Region

Select the region where your Smokeball account is hosted: 

    • United States (US) 
    • United Kingdom (UK) 
    • Australia (AU) 

User (Email Address)

Specify the Smokeball user account email address. This field supports data merging to dynamically assign the user at runtime.

User Authentication

Before exporting to Smokeball, users must authenticate via OAuth to grant Umango access. This authentication is valid for 30 days. Once completed, a connection test will confirm successful setup. 

OAuth tokens can be cleared when necessary, and testing the connection ensures that the authentication process has been successfully completed.

Matter Selection

Determine which Smokeball matter documents will be uploaded to.

    • Always export to the selected matter – Select the matter directly from a searchable dropdown. 
    • Use an index field to determine the matter – Dynamically assign the matter during export via a mapped field.

Folder Selection

Choose how to place documents within the selected matter.

    • Place documents in the root folder – Exports directly into the base matter folder. 
    • Always place documents in the folder below – Browse and assign a default folder path. 
    • The user will select the folder from the zone below – Allows folder selection at runtime.

You may also define a Sub-Folder Path using static or merged values, which will append to any of the folder selection methods. If the path does not exist, it will be created automatically.

Assignments

Metadata

Define optional metadata fields to include with the uploaded documents. 

Each metadata field includes: 

    • Key – The name of the metadata field.
    • Value – The value to be assigned. This field supports data merging.

Click Add to include multiple key-value pairs.

Document Name

Set the filename for exported documents. This field supports data merging for dynamic naming. 

Add file to favorites – Flags the document as a favorite within Smokeball. 

When a file with the same name already exists: 

    • Rename the new file by appending an incrementing number 
    • Update the existing file by adding a new version 
    • Replace the existing file with the new one
Shareable Link

Enable a shareable link to the exported document within Smokeball, allowing for seamless sharing and collaboration. Once enabled, the link is available as a merge field in subsequent connectors within the same job using <<SmokeballShareableLink>>. The link has a default expiry of 4 hours.
